Seller guide: payouts, fees, and getting paid

You can browse and draft with a plain account, but before a listing can go live you need a payout account connected. Here is the whole picture.

Setting up payouts

Payout setup lives in Dashboard → Settings. You will be handed off to our payment processor to complete onboarding, then returned to VendingBay.

You will be asked for:

  • Your legal name and address
  • Date of birth
  • A bank account for payouts
  • An identity document, in some cases

This is a regulatory requirement for anyone receiving money through the platform. We cannot waive it, and we do not see or store your bank details ourselves.

Onboarding sometimes pauses partway through. If you close the tab, or a document needs review, your account sits as incomplete. Go back to Dashboard → Settings and resume — you will not have to start over.

The fee

The platform fee is 10% of the sale price, deducted from your payout.

On a $4,000 sale: fee $400, payout $3,600.

There is no listing fee, no monthly fee, and no charge for a sale that does not complete. The 10% only applies to sales that actually close.

One thing that is charged separately: extra locations on package deals. Your first 3 locations in a package are free; each additional location is $25. See the package deals article for detail.

When you actually get paid

  1. The buyer pays. The money is held in escrow — not yours yet.
  2. You accept the sale within 2 days. Miss this and the purchase is cancelled and refunded to the buyer.
  3. You complete the handover within 7 days and mark it done on the platform.
  4. The buyer confirms and releases the payment.
  5. There is a short holding period, then the transfer goes to your connected account.
  6. Your bank posts it — typically a couple of business days after the transfer, depending on your bank.

So from the buyer releasing to the money being spendable is usually around a week to ten days. It is not instant, and that is deliberate — it is the same holding period that gives buyers the confidence to pay you up front.

Track everything in Dashboard → My Sales and Dashboard → Transactions.

Deadlines you need to hit

These are enforced automatically, not by a person you can negotiate with:

  • 2 days to accept. Missing it cancels the sale and refunds the buyer.
  • 7 days to complete handover. Missing it schedules a refund to the buyer.

Both are easy to miss if you are not watching email. Notification emails go to your verified address — make sure it is one you actually read.

My payout has not arrived

Check in this order:

  1. Is the transaction actually released? Look at Dashboard → Transactions. If the buyer has not confirmed yet, nothing has been sent.
  2. Has the holding period passed? The transfer does not fire the instant the buyer releases.
  3. Is your payout onboarding complete? An incomplete account is the most common cause of a stuck payout. Dashboard → Settings will tell you.
  4. Are your bank details current? A closed or mistyped account bounces the transfer back.

If all four check out and it has been more than a week since release, contact us with the transaction reference.

Cash meetups

You can agree a cash sale with a buyer instead. If you do, there is no platform fee — but there is also no escrow, no protection for either side, and no dispute process. Mark the handover on the platform anyway so your sales record and seller rating stay accurate.
